More often than not, it happens that unexpected circumstances take place during a shift, thus forcing the manager to review their strategy. If, taken by surprise, the manager waits for the trajectory to change course before reacting, then obviously, they will need to review their plans urgently, and these plans likely won’t be the most favorable. Coming back to the initial target will therefore be difficult and will require time, additional resources, while also causing delays.
On the contrary, anticipating those unexpected circumstances will allow the manager greater leeway before acting in the face of an unforeseen event, consequently granting them a reaction time to find alternative solutions intended to bring everything back on its intended trajectory.
Here are 6 tips to help you establish a proactive supervision round in your company
- Schedule specific moments for follow-ups with your teams. Create your own habit. This needs to be integrated into your routine.
- Target checkpoints to inspect with a precise itinerary. (Example: each of the workstations).
- Clarify each checkpoint’s expectations. Make sure that those expectations relate to operational performance areas, such as: Health and safety, Quality, Cost, Delays, Mobilization and Environment.
- Question and challenge your staff to identify certain gaps between expectations and reality.
- Analyze and implement an action plan to resolve the gaps previously identified. Always involve your team in the search for solutions.
- Carry out follow-ups and repeat all steps according to the daily frequency you will have established.
The added value of a manager therefore lies in proactive supervision, namely, them actively working on the ground to ensure that all elements are in place in order to achieve their target.
It’s impossible to anticipate everything and to reach perfection every time. When unexpected circumstances happen, despite having previously anticipated such things happening, we need to use those now problematic unforeseen events as learning opportunities and to be able to avoid them in the future.
Know that, at the beginning, it will be difficult to be efficient during your rounds. You will undoubtedly need to get through the normal learning stages before seeing any results. Be patient and be indulgent with yourself!
